GanpatrAI Tech Sol respects your privacy. This policy explains what information we collect when you visit www.ganpatrai.in, book a demo or pilot the product — and how we handle it under the Digital Personal Data Protection Act, 2023 (DPDP).

1. Who we are
"GanpatrAI", "we", "us" or "our" refers to GanpatrAI Tech Sol, a software vendor based in India that builds AI-assisted HR software for hospitals and medical colleges. For the purposes of the DPDP Act, 2023, we are the Data Fiduciary for personal data collected on this website. When the product is deployed inside a customer hospital, we act as a Data Processor on behalf of the hospital.
2. What we collect on this website
- Demo requests — name, work email, institution name and approximate headcount that you enter into the "Book a demo" form. This data is sent to hello@ganpatrai.in via your own email client.
- Email enquiries — anything you choose to write to us at hello@ganpatrai.in.
- Server logs — IP address, browser type, pages visited, referrer and timestamp, retained for up to 30 days for security and uptime monitoring.
- Analytics — we use Cloudflare Web Analytics (cookieless, no personal data, no cross-site tracking) on every page to count visitors and page views. With your consent we also load Microsoft Clarity, which records anonymous session replays and heatmaps so we can improve the site; Clarity uses cookies and stores data on Microsoft servers. 3. What we do not collect on this website
This website does not collect patient health information, biometric punch data, salary ledgers, employee photographs or any data from the GanpatrAI hospital deployment. Those datasets live on the customer hospital's own on-premise server and never leave that network.
4. Purposes and lawful basis
- Responding to your demo or pilot enquiry (consent & legitimate use).
- Sending you product, security and policy updates if you opt in.
- Statutory compliance — tax, audit and regulatory record-keeping under Indian law.
- Protecting our website and customers from abuse and security incidents.
5. Hospital deployments — how customer data is handled
Every approval inside the product is digitally signed with the approver's name, timestamp and IP. This audit trail belongs to the hospital and is exported on request when a deployment ends.
6. Sharing and disclosure
We do not sell personal data. We share information only with: (a) our trusted service providers (e.g. email delivery, web hosting, analytics) under written confidentiality terms; (b) Indian regulators or courts when required by law; and (c) a successor entity if GanpatrAI is acquired or restructured, in which case we will notify you.
7. Retention
- Demo form contents — up to 24 months from last contact, then deleted or anonymised.
- Server logs — up to 30 days.
- Customer contractual records — retained as required by Indian tax, company and labour law.
8. Your rights under DPDP
You have the right to access, correct, update or erase the personal data you have shared with us; to nominate someone to exercise those rights on your behalf; to withdraw any consent you have given; and to lodge a grievance with our Grievance Officer or with the Data Protection Board of India.
9. Security
We use HTTPS across the website, role-based access for our internal systems, encrypted backups for our own business records, and least-privilege access for our team. Inside hospital deployments, GanpatrAI supports on-premise deployment, role-based access, password complexity, optional 2FA, and full audit logs for every approval action.
10. Children
This site and product are not directed at children under 18. We do not knowingly collect personal data from children.
